Quotation Generator Formula & Calculation

Subtotal = Σ(Qty × Rate) | GST = Σ(Line Amount × GST% ÷ 100) | Total = Subtotal + GST − Discount% + Shipping

Each line item has its own quantity, rate and GST% (0/5/12/18/28), so the quotation sums the taxable value and GST separately before combining them. A flat discount percentage is then applied to the GST-inclusive sum (Subtotal + GST), and a fixed shipping/handling charge is added on top to arrive at the final quoted amount.

As with the invoice tools, the Intra-state vs Inter-state toggle decides whether the GST is shown as CGST+SGST (split equally) or as IGST (shown in full) in the breakdown.

Example: Services worth ₹28,000 at 18% GST = ₹5,040 GST → ₹33,040 before discount. A 10% discount removes ₹3,304, then ₹500 shipping is added → Final quote = ₹30,236.

Key Factors That Affect Your Result

  1. Discount timing — This tool applies the discount after GST is added (on Subtotal + GST), which matches how most informal quotes are presented, though formal tax invoices usually apply discounts before computing GST. Clarify this with your client if it matters for their accounting.
  2. Per-line GST rate — Mixed-rate quotations (e.g., 18% services + 5% goods) are common; verify each line uses its correct rate rather than one blanket rate.
  3. Validity period — A quotation isn't a tax document; its "Valid Until" date matters commercially (prices/rates can change) but has no GST filing implication, unlike an invoice.

Frequently Asked Questions

Yes — completely free, no signup, no watermark. All data is filled in your browser. You can generate unlimited quotations.

A quotation (or estimate) is sent before a sale to propose pricing — it is not a demand for payment. An invoice is issued after the sale is confirmed and is a legal request for payment. This tool lets you rename the document title if you prefer "Estimate" instead of "Quotation".

This tool doesn't auto-convert, but since the fields (client details, line items, GST) match our GST Invoice Generator, you can quickly re-enter the same details there once the quote is accepted.

Yes — you can add a GST rate per line item and choose Intra-state (CGST+SGST) or Inter-state (IGST), same as our invoice tool, so clients see the expected tax-inclusive total.

Use the "Valid Until" date field — it appears in the quotation header so clients know the deadline for accepting the quoted price.
