Purchase Order Generator Formula & Calculation

Subtotal = Σ(Qty × Rate) | GST = Σ(Line Amount × GST% ÷ 100) | Total PO Value = Subtotal + GST − Discount% + Shipping

The purchase order totals each line item's Qty × Rate for the subtotal, applies each line's own GST% to compute tax, then applies an overall discount percentage to the GST-inclusive sum before adding a shipping/handling charge — giving the buyer's total committed order value.

The Intra-state/Inter-state selector controls whether the tax breakdown shows CGST+SGST (equal split) or IGST (full amount), matching how the eventual supplier invoice should reconcile against this PO.

Example: 10 office chairs at ₹4,500 (18% GST) + 5 standing desks at ₹12,000 (18% GST) = ₹1,05,000 subtotal + ₹18,900 GST = ₹1,23,900, minus any negotiated discount, plus shipping.

Key Factors That Affect Your Result

  1. Matching the final invoice — A PO's GST split (CGST/SGST vs IGST) should match the supplier's actual registered state, otherwise the invoice they raise won't reconcile against this PO for accounting/ITC purposes.
  2. Per-line GST rate — Since different ordered items can fall under different slabs, verify each line's rate rather than assuming one rate for the whole order.
  3. Discount sequencing — The discount here is applied on the tax-inclusive total; for formal vendor contracts, confirm whether the agreed discount should instead apply before GST.

Frequently Asked Questions

Yes — completely free, no signup, no watermark. All data is filled in your browser.

The buyer issues a purchase order (PO) to a vendor/supplier to formally request goods or services. This is the opposite direction from an invoice, which the seller sends to the buyer — that's why this tool labels your details as "Buyer" and the other party as "Vendor".

Yes — upload your logo, signature, and company seal the same way as our GST Invoice Generator. All three support adjustable size and opacity.

It's common practice to show expected GST on a PO so the vendor knows the anticipated total, but it's not a tax document itself — the vendor's invoice is what matters for tax purposes.

Use the "Expected Delivery" date field — it appears in the PO header to communicate your delivery deadline to the vendor.
