How to Use GST Credit Note Generator Online

  1. Enter the original invoice number and date, then choose whether you are cancelling it fully or crediting a return, discount, correction or short supply
  2. Fill in your business details and the customer's details exactly as on the original invoice
  3. Add the items being credited with quantity, rate and the same GST rate as the invoice, and pick the same supply type (CGST+SGST or IGST)
  4. Choose how the customer is settled — adjusted against future invoices, refunded, or nothing due
  5. Preview the credit note and print it or save it as a PDF, then report it in your GST return

GST Credit Note Generator Formula & Calculation

Taxable Credit = Qty × Rate | Tax Credit = Taxable Credit × GST% ÷ 100 | Total Credit = Taxable Credit + Tax Credit

A GST credit note reverses all or part of a tax invoice you already issued. Each line is calculated exactly like an invoice line — quantity times rate gives the taxable value being credited, and that line's GST% gives the tax being credited — so a full cancellation simply repeats every line of the original invoice.

For intra-state supply the tax credited is split equally into CGST and SGST; for inter-state supply it is shown as IGST. The credit note must follow the original invoice's supply type and rates, otherwise the tax you reverse won't match the tax you charged.

Example: Cancelling a ₹15,000 web design line at 18% GST gives a taxable credit of ₹15,000, tax credit of ₹2,700 (CGST ₹1,350 + SGST ₹1,350) and a total credit of ₹17,700.

Key Factors That Affect Your Result

  1. Match the original invoice — Quote the original invoice number and date, and reuse its GST rates and supply type; a mismatch makes the credit note hard to reconcile in GSTR-1 and the customer's ITC reversal.
  2. Deadline for the tax reduction — To reduce your output tax, the credit note generally has to be issued and declared by 30 November after the end of the financial year of the original supply (or the annual return date, if earlier). Later notes can be issued but won't reduce your tax.
  3. Customer's ITC — A GST-registered customer who claimed input tax credit on the original invoice must reverse the matching credit, so send them the credit note promptly.
  4. E-invoice cases — If the original was an e-invoice, check whether it can still be cancelled on the portal; once that window has passed, a credit note is the correct route.

Frequently Asked Questions

For an ordinary (non-e-invoice) tax invoice, you issue a credit note for the full value of the invoice, referencing its number and date, and report it in your GST return. If the invoice was an e-invoice, the portal only allows cancelling the IRN within a short window after generation (currently 24 hours) — after that, a credit note is the way to reverse it. Confirm the current rule on the e-invoice portal.

Under Rule 53 of the CGST Rules: the words "Credit Note", supplier name, address and GSTIN, a consecutive serial number (max 16 characters, unique in the financial year), date of issue, recipient name, address and GSTIN (or name, address and state for an unregistered recipient), the number and date of the original invoice, the taxable value, rate and amount of tax credited, and the supplier's signature. This tool includes all of them.

To reduce your output tax liability, the credit note must be issued and declared by 30 November following the end of the financial year in which the original supply was made, or the date you file the annual return for that year, whichever is earlier. A credit note issued after that can still go to the customer, but you cannot claim the tax reduction. Check with your accountant for your case.

Yes. Pick the same supply type and GST rates as the original invoice so the tax reversed exactly matches the tax charged. The tool splits the tax into CGST+SGST or IGST accordingly.

Yes — for a sales return, post-sale discount, rate correction or short supply, list only the items and amounts being credited. Use "Cancel the entire invoice" when you want to reverse everything; enter all original lines so the credit equals the invoice total.
